Running a hybrid AGM without the stress

More shareholders now join online than in the hall. Here is the plan our AV desk follows so remote voters are counted and the stream never drops.

Audience watching a presentation on large screens

Start with the registrar

Agree the voting method with your registrar at least six weeks out. Hall voters use handsets; online voters vote through the stream platform. Both feed one results screen, which our AV desk tests at rehearsal.

Two lines, two sets

The stream runs on a dedicated 200 Mbps fibre line with a second provider on standby. Power comes from the grid with two 500 kVA sets on automatic changeover, so a grid cut never reaches the stream encoder.

Rehearse the awkward bits

The day before, we rehearse the chair handing over, a remote speaker dropping out, and a vote being called early. Ten minutes of rehearsal saves an hour of confusion.

Make the room feel full

Online shareholders see the hall, so we set theatre seating to the expected in-person number and open extra rows as people arrive. The layout builder shows how many rows you need.

After the meeting

Within 48 hours you get the recording, the question log and the vote tally, all in your organiser account.
